Key Information for Down Syndrome NSW Members
We are pleased to share important details about the upcoming Annual General Meeting (AGM) for the Down Syndrome Association of NSW, taking place on Thursday 18 December 2025. This blog outlines everything you need to know about board nominations, voting, proxy options and how to register for the meeting.
Board Nominations Now Open
Board nominations open Monday 1 December 2025.
The current board encourages all eligible members, including people with Down syndrome, to consider nominating.
Board positions available
The board will be made up of the following roles:

Vice President
-
Treasurer
-
Secretary

Up to five ordinary Board Members

Three representatives of the Down Syndrome Network
Any Ordinary Member residing in NSW can be nominated for President or Vice President. Any Member residing in NSW can be nominated for Secretary, Treasurer or ordinary Board Member. Board members serve a two year term.
How to nominate
To nominate, candidates must complete the nomination form and email it to admin@downsyndromensw.org.au by 5.00 pm Wednesday 10 December 2025.
The form must be signed by two Ordinary Members of the Association (not including the candidate). The candidate must also sign to confirm consent.

Nominations close
5.00 pm on Wednesday 10 December 2025.
Candidate statements and biographies will be published on Thursday 11 December 2025.
Voting opens
Online voting will be conducted by TrueVote and opens Thursday 11 December 2025 for a period of seven days.
All Ordinary or Lifetime Members aged 18 or over and residing in NSW are eligible to vote.
Voting closes
Voting will close during the AGM on Thursday 18 December 2025.
How the Voting Process Works
If you are registered for the AGM and eligible to vote, you will receive an email and SMS from TrueVote on Thursday 11 December with your personalised link to cast your vote.
If you register for the AGM after 11 December, your TrueVote link will be sent within 24 hours of registration. Additional information about voting will be issued before the voting period opens.
Proxy Voting
The extended online voting period is expected to remove the need for most proxy votes. However, if you will not have internet access during the voting window, you may appoint another eligible member as your proxy.
Proxy forms must be emailed to admin@downsyndromensw.org.au by 5.00 pm Wednesday 17 December 2025.

Down Syndrome Network Representation
Under the updated constitution, three board positions are reserved for representatives of the Down Syndrome Network, made up of Ordinary Members aged 16 years or over who have Down syndrome and live in NSW. Voting rights begin at age 18.
For the first year only, the Board will seek expressions of interest from adult members with Down syndrome and appoint three Network representatives to support the establishment and growth of the Network. In future years, the Network will conduct its own elections for these positions.
